- Go to Waitlist
- Apply any filters to narrow down what you want to export
- Click Export CSV
- The CSV file downloads automatically

What’s Included
The export includes:
Standard Fields
- Position number
- First name, last name
- Email, phone
- Date of birth, age
- Gender
- Location, group
- Status
- Tags
- Join date
- Notes
Custom Fields
All custom fields you’ve configured are included with their current values.
Parent/Child Fields (if applicable)
- Parent name and contact info
- Child name and date of birth
Filtering Before Export
Filters affect what’s exported:

Tip: Apply filters first if you only need a subset of your data. This makes the export file smaller and more focused.

Using the Exported File
Open in Excel
- Double-click the downloaded file
- Excel opens automatically
- Data is organized in columns
Open in Google Sheets
- Go to Google Sheets
- File → Import
- Select the CSV file
- Choose “Replace spreadsheet” or “Create new”
Data Analysis Ideas
- Count entries per group
- Calculate average wait time
- Create charts of signups over time
- Track conversion rates (waiting → enrolled)
Regular Backups
We recommend exporting your data periodically as a backup:
- Weekly or monthly exports
- Keep exports in a secure location
- Name files with dates (e.g.,
waitlist-backup-2026-02-01.csv)
Tip: While WaitlistCare maintains backups of your data, having your own exports provides an additional layer of security.
CSV Format Details
- Encoding: UTF-8
- Delimiter: Comma (,)
- Text qualifier: Double quotes for fields containing commas
- Date format: YYYY-MM-DD
- Compatible with: Excel, Google Sheets, Numbers, and most spreadsheet applications
Troubleshooting
Special Characters Look Wrong
- Open in Google Sheets which handles UTF-8 well
- Or in Excel: Data → From Text/CSV with UTF-8 encoding
Dates Formatted Incorrectly
- Format the date column in your spreadsheet application
- Use YYYY-MM-DD format for consistency
Large File Won’t Open
- Filter to export smaller subsets
- Use Google Sheets which handles large files better
