As your waitlist grows, filters and search help you find exactly what you’re looking for quickly.
Quick Search
The search bar at the top of the waitlist searches across:
- First and last names
- Email addresses
- Phone numbers
Simply type to search — results filter in real-time.
Location Filter
Filter entries by location:
- Click the Location dropdown
- Select one or more locations
- The list updates to show only entries from selected locations
Group Filter
Filter entries by group:
- Click the Group dropdown
- Select one or more groups
- View entries only in those groups
You can select multiple groups to see, for example, all Toddlers AND Infants.
Status Filter
Filter by entry status:
- Click the Status dropdown
- Select the statuses you want to see
- Common filters: “Waiting only” or “All active”
Tag Filter
Filter by tags you’ve assigned:
- Click the Tags dropdown
- Select one or more tags
- See only entries with those tags
Flag Filters
Special filters for specific situations:

Custom Field Filters
If you’ve created custom fields with the Show in filters option enabled, they appear in the Additional Filters panel below the main filters.
Click Additional Filters to expand the panel and see your custom field filters. Each field shows a control based on its type:
Text Fields
Type to search for entries containing that text in the field.
Select (Dropdown) Fields
Choose one or more options to filter by.
Multiselect Fields
Select multiple options to show entries with any of those values.
Checkbox Fields
Filter by Yes, No, or All.
Date Fields
Select a date range to filter entries.
Custom field filters combine with other filters to help you find exactly the entries you need.
Tip: To enable custom field filtering, edit your custom field in Configure → Form Fields and enable Show in Filters. See Custom Form Fields for details.
Show Archived
By default, archived entries are hidden. To see them:
- Toggle Show Archived on
- Archived entries appear with a visual indicator
- Toggle off to hide them again
Combining Filters
Filters work together. For example, you can:
- Search for “Smith” + Location: “Main Campus” + Status: “Waiting”
- Show all entries with missing documents in the Toddler group
- Find all self-signups from the past week
- Filter by custom field values like “Days Needed: Monday, Wednesday” + Status: “Waiting”
Saving Filter Views
Your current filters persist during your session. When you return to the waitlist page, the default view shows:
- All locations (or your assigned locations if you’re staff)
- All groups
- Active statuses (not completed/removed)
Clearing Filters
To reset filters, click the X on any active filter chip to remove it.
Tip: If you're not seeing entries you expect, check your filters! A common issue is having a filter set that excludes the entries you're looking for.
