Billing & Subscriptions

Manage your WaitlistCare subscription, understand location-based pricing, and update payment methods.

WaitlistCare uses per-location pricing. You choose a plan based on how many locations you need, then enable locations within that limit.

Accessing Billing

  1. Go to Account → Billing
  2. View your subscription status and plan details

Note: Only Admins can access the Billing section.

Pricing

Per Location Pricing

  • $25/month per location (monthly billing)
  • $20/month per location (annual billing — save 20%)

Free Trial

  • 30 days free on all new accounts
  • Full access to all features with unlimited locations
  • No credit card required to start

Tip: Annual billing saves 20% compared to monthly.

How Location-Based Pricing Works

Your subscription includes a specific number of locations. You can enable locations up to that limit.

For example, if your plan includes 2 locations:

  • You can have up to 2 active locations
  • To use a third location, you need to upgrade your plan first

Adding a location does not automatically change your billing. You must have a plan that covers the number of locations you want to use. If you need more locations, upgrade your plan through Manage Subscription first, then enable the new location.

Subscription Statuses

StatusMeaning
TrialFree trial period — unlimited locations
ActiveSubscription is current and all features are available
CancelingActive until end of billing period, then cancels
Past DuePayment failed — update payment method to restore access
CancelledSubscription ended — resubscribe to regain access

Getting Started After Trial

When your trial is active:

  1. Go to Account → Billing
  2. Click Add Payment Method
  3. Complete the checkout process
  4. Choose how many locations you need

Managing Your Subscription

Click Manage Subscription to open the subscription portal where you can:

  • Change your plan (add or reduce locations)
  • Switch between monthly and annual billing
  • Update your payment method
  • View and download invoices
  • Cancel your subscription

Failed Payments

If a payment fails:

  1. A warning banner appears on the Billing page
  2. Click Update Payment to fix it
  3. Enter updated card details in the subscription portal

Access may be restricted until payment is resolved.

Resubscribing

If your subscription was cancelled:

  1. Go to Account → Billing
  2. Click Resubscribe
  3. Complete the checkout process

Your data is preserved — you can pick up where you left off.
