Creating Groups

Organize your waitlist entries by age range, service type, or any category that fits your needs.

Groups help you categorize and organize waitlist entries. They’re flexible and can represent whatever makes sense for your organization.

Common Uses for Groups

Childcare & Preschools

  • Infant (0-12 months)
  • Toddler (1-2 years)
  • Preschool (3-4 years)
  • Pre-K (4-5 years)

Healthcare

  • New Patients
  • Established Patients
  • Specialist Referrals
  • Urgent Care

Senior Living

  • Independent Living
  • Assisted Living
  • Memory Care
  • Skilled Nursing

Therapy Practices

  • Speech Therapy
  • Occupational Therapy
  • Physical Therapy
  • ABA Services

Creating a Group

  1. Go to Configure → Groups
  2. Click Add Group
  3. Enter the group details:
    • Name — A clear, descriptive name
    • Description — Optional details about the group
    • Age Range — Min/max age in months (for childcare)
    • Capacity — Maximum people in this group (optional, for tracking only)
    • Color — Choose a color for visual identification
  4. Click Create

How Groups Affect Your Waitlist

Separate Position Tracking

Each group within a location has its own position numbering:

Main Campus Waitlist
#1

Emma Johnson

Toddlers
#1

Liam Smith

Infants
#2

Olivia Brown

Toddlers

Notice how Emma is #1 in Toddlers, Liam is #1 in Infants, and Olivia is #2 in Toddlers.

Filtering by Group

Use the group filter on the Waitlist page to view entries in a specific group.

Self-Signup Default Group

When setting up self-signup, you can assign a default group for new signups from each location.

Editing Groups

  1. Go to Configure → Groups
  2. Click the Edit button on the group
  3. Make your changes
  4. Click Update

Note: Changing a group name will update all entries currently in that group.

Deleting Groups

Before deleting a group, you must move or delete all entries in that group:

  1. Filter your waitlist by the group you want to delete
  2. Reassign entries to a different group, or delete them
  3. Go to Configure → Groups
  4. Click Delete on the empty group

Group Progression (Advanced)

For childcare organizations, you can set up automatic progression based on age:

  1. Edit a group
  2. Set the min/max age range (in months)
  3. Enable progression to next group
  4. Select the next group from the dropdown
  5. Entries will automatically move to the next group when they exceed the max age
