Setting Up Groups

Create and manage groups to organize entries by age range, service type, or any category.

Groups help you categorize waitlist entries. They can represent age ranges, service types, programs, or any categorization that makes sense for your organization.

Accessing Groups

  1. Go to Configure → Groups
  2. View all your existing groups

Creating a Group

  1. Click Add Group
  2. Enter group details:
    • Name — Clear, descriptive name
    • Description — Optional details about the group
    • Age Range — Min/max age in months (for childcare)
    • Capacity — Maximum people in this group (optional)
    • Color — For visual identification
  3. Click Create

Childcare / Daycare

  • Infant (0-12 months)
  • Toddler (1-2 years)
  • Preschool (3-4 years)
  • Pre-K (4-5 years)
  • School Age (5+)

Healthcare

  • New Patients
  • Established Patients
  • Specialist Referrals
  • Urgent/Priority

Senior Living

  • Independent Living
  • Assisted Living
  • Memory Care
  • Skilled Nursing

Therapy Practices

  • Speech Therapy
  • Occupational Therapy
  • Physical Therapy

How Groups Affect Positions

Each group within a location has independent position numbering:

Main Campus Positions:

#1 Toddlers Emma Johnson
#1 Infants Liam Smith
#2 Toddlers Olivia Brown

Editing Groups

  1. Find the group in the list
  2. Click Edit
  3. Update name or color
  4. Click Update

Note: Changing a group name updates all entries currently in that group.

Reordering Groups

To change the display order of groups:

  1. Use the up/down arrow buttons next to each group
  2. The new order is saved automatically

Deleting Groups

To delete a group:

  1. First, move or delete all entries in that group
  2. Then click Delete on the empty group

You cannot delete a group that contains entries.

Age-Based Progression

For childcare organizations, enable automatic age-based progression:

  1. Edit a group
  2. Set the min/max age range (in months)
  3. Enable progression to next group
  4. Select the next group from the dropdown
  5. Entries automatically move to the next group when they exceed the max age
