Statuses represent stages in your waitlist workflow. Customize them to match how your organization processes entries.
Default Statuses
WaitlistCare comes with three default statuses:
- Active — Entry is on the waitlist (has a position)
- Enrolled — Entry completed successfully (no position)
- Withdrawn — Entry removed from waitlist (no position)
Viewing Statuses
- Go to Configure → Statuses
- See all your configured statuses
Creating a Status
- Click Add Status
- Configure the status:
- Name — What to call this status
- Color — Visual identifier
- Completed Status — Toggle on if this means the entry finished successfully (e.g., Enrolled)
- Removed Status — Toggle on if this means the entry left the waitlist (e.g., Withdrawn)
How Status Type Affects Entries

| Completed toggled on | Entry finished successfully | No position |
| Removed toggled on | Entry left the waitlist | No position |
Tip: Completed and Removed statuses don't have positions because the entry is no longer "waiting."
Status Workflow Example
Childcare Workflow
- Active — On the waitlist
- Contacted — Initial outreach made
- Tour Scheduled — Coming for a visit
- Offer Made — Spot offered
- Enrolled (Completed) — Accepted and enrolled
- Declined (Removed) — Chose not to enroll
- Withdrawn (Removed) — Removed from waitlist
Healthcare Workflow
- Active — On the waitlist
- Verified — Insurance verified
- Scheduled — Appointment set
- Admitted (Completed) — Became a patient
- Cancelled (Removed) — No longer interested
Editing Statuses
- Click Edit on a status
- Change name, color, or type settings
- Click Update
Note: You cannot change the Completed/Removed toggles if entries exist with that status. To change the type, first reassign all entries to a different status.
Status Colors
Choose colors that are intuitive for your team:
- Violet/Purple — Waiting, initial states
- Amber/Yellow — Action needed, in progress
- Blue — Scheduled, pending
- Green — Completed, success
- Red — Removed, declined, cancelled
Reordering Statuses
The order of statuses affects:
- Dropdown menu order
- Kanban board column order
Use the up/down arrow buttons to reorder statuses.
Deleting Statuses
To delete a status:
- First reassign all entries to a different status
- Then click Delete
You cannot delete the last active status or the last completed/removed status.
