Document types define what documents you need from contacts. Configure required and optional documents, and manage the review workflow.
Viewing Document Types
- Go to Configure → Document Types
- See all configured document types
Creating Document Types
- Click Add Document Type
- Configure:
- Document Type Name — What to call this document
- Description — Instructions shown to staff (optional)
- Required document — Must contacts upload this?
- Requires review — If enabled, uploads need manual approval. If disabled, uploads are auto-approved.
- Show on signup form — Appear on the public self-signup form?
- Show on status page — Can contacts upload from their status page?
- Accepted File Types — Images, PDFs, or both
- Max File Size — 1 MB to 10 MB
- Click Create

Required vs Optional
Required Documents
- Entries show “Missing Documents” indicator
- Can prevent completion of enrollment
- Contacts see these prominently on status pages
Optional Documents
- Nice to have but not mandatory
- Don’t block enrollment
- Can be uploaded at any time
Document Review Workflow
When a document is uploaded:
- Pending Review — Document awaits your review
- You review and choose:
- Approve — Document accepted
- Reject — Document not acceptable (family can re-upload)

Requires Review Setting
By default, new document types do not require review (uploads are auto-approved). To enable manual review:
- Edit the document type
- Toggle Requires review on
- Uploaded documents will show as “Pending Review” until you approve or reject them
Tip: Leave review off for simple documents like consent forms or acknowledgments. Enable it for important documents like IDs and medical records.
Document Status Indicators
In the waitlist, entries show document status:

| No indicator | All documents complete |
| Missing | Required document not uploaded |
| Pending | Document awaiting review |
| Rejected | Document rejected, needs re-upload |
Where Contacts Upload
Contacts can upload documents:
- During self-signup — On the public signup form (if “Show on signup form” is enabled)
- Via status page — Using their magic link (if “Show on status page” is enabled)
- Staff upload — Staff can upload on their behalf
Filtering by Document Status
Find entries with document issues:
- Go to Waitlist
- Use flag filters:
- Missing Documents — Required docs not uploaded
- Documents under Review — Docs awaiting your review
- Rejected Documents — Docs that need re-upload
Deleting Document Types
To delete a document type:
- Ensure no documents have been uploaded for this type
- Click Delete on the document type
You cannot delete a document type if documents exist for it. Deactivate it instead to hide it while preserving uploaded files.
