Setting Up Stripe
Step 1: Connect Your Stripe Account
- Go to Account → Payments
- Click Connect Stripe Account
- Complete the Stripe onboarding process (identity verification and banking details)
- Return to WaitlistCare
Tip: If you don't have a Stripe account, you can create one during the onboarding process. Stripe is free to set up.
The Payments page shows your Stripe connection status:

| Active | Ready to accept payments |
| Pending | Onboarding not yet complete — click Continue Setup |
| Restricted | Account needs attention — visit Stripe Dashboard |
Step 2: Enable Payments per Location
Once Stripe is connected:
- Go to Configure → Self Signup
- Click Configure on a location
- Toggle Require Payment on
- Enter the fee amount
- Save
Payment Settings
What Contacts See
During self-signup, contacts see:
- Standard signup form
- Payment section with fee amount
- Secure Stripe checkout
- Confirmation after payment
The entry is only created after successful payment.
Viewing Payments
Each entry that required payment shows payment details in the entry’s Profile tab:
- Amount — The fee charged
- Status — Paid, Pending, Failed, or Refunded
- Payment ID — Stripe transaction reference
- Paid On — Date of payment
Issuing Refunds
To refund a payment:
- Open the entry
- Go to the Profile tab
- Find the payment section
- Click Issue Refund
- Optionally enter a reason
- Click Process Refund
Note: Processing fees are non-refundable. Stripe's processing fees will be deducted from your account balance even after a refund. Refunds cannot be undone.
Transaction Fees
Each payment incurs the following fees:

| WaitlistCare | 3% per transaction |
These fees are deducted automatically from each payment before it reaches your Stripe account.
Stripe Dashboard
Once connected, click Stripe Dashboard on the Payments page to:
- View all transactions
- Track payouts to your bank
- Download reports
- Manage disputes
Troubleshooting
Payment Failed
If a contact’s payment fails:
- They see an error message
- The entry is not created
- They can try again with a different payment method
Stripe Account Issues
If your Stripe account shows as Restricted:
- Click Open Stripe Dashboard to check for issues
- Verify your account is fully activated
- Contact Stripe support if needed
Security
- All payments processed by Stripe (PCI compliant)
- WaitlistCare never sees full card numbers
- Secure, encrypted transactions
